What is the purpose of this document?

ICGN is committed to protecting the privacy and security of your personal information. In accordance with the UK Data Protection Act 2018 and the EU General Data Protection Regulation (GDPR), this Privacy Notice sets out how we collect and use personal information about you. It is relevant to ICGN members, prospective members and business contacts about whom we hold personal information.

What does ICGN do?

Established in 1995 and led by investors responsible for assets under management in excess of US $34 trillion, ICGN is a leading authority on global standards of corporate governance and investor stewardship. We promote high standards of professional practice among companies and investors alike in their pursuit of long-term value creation contributing to sustainable economies world-wide. This is achieved through three core objectives:

What personal data about you do we collect?

ICGN is a “data controller”.  This means that we are responsible for deciding how we hold and use personal information about you which includes:

  • Contact details (name, title, address, telephone number, email address)
  • Type of company (investor, company, non-profit, individual)
  • Assets under management of your employer (investor only)
  • Employer or business name

We do not hold data related to financial transactions such as credit card details (e.g., VISA, MASTERCARD, AMEX) which are processed via SAGEPAY.

How do we collect the data?

We collect, store and use personal information about you if you have consented to become an ICGN Member or from a subsequent communication to you. The information is collected via our website hosted by COGECO PEER 1 from the forms you complete to become an ICGN Member or when you register to attend an ICGN conference, course or webinar. If you contact us or provide your business card to an ICGN member of staff we may record your contact details.

Why do we collect the data?

We collect store and use personal data about you in order to:

  • Process your membership application, renewal or retirement or any further changes
  • Inform you of the benefits of ICGN membership benefits or services
  • Update you on ICGN policy activities and information
  • Invite you to conference, events, courses and webinars
  • Invite you to participate in ICGN surveys
  • Invite you to put forward recommendations of candidates for ICGN Awards
  • Invite you to participate in and vote at the ICGN Annual General Meeting
How long will we keep your personal data?

We will keep your personal data for the above purposes until either we become aware it is no longer valid, or you ask us to delete it.

Will we share your data with third parties?

We may use a marketing automation platform to deliver some of the emails that we send to you.  We will only every share your data with third parties if you consent. This is restricted to the reference to your name, job title, company and country location on delegate lists for events or when you consent to freely share you data as part of your networking preferences on-line.

What are your rights?

You have the following rights:

  • Right to be informed – you have the right to be told about the collection and use of the personal data you provide.
  • Right of access – you have the right to know whether we are processing your personal data, and to a copy of that data. We may need to request specific information from you to help us confirm your identity and ensure your right to success the information (or to exercise your other rights).
  • Right to rectification – you have the right to have any incorrect personal data corrected or completed if it is incomplete.
  • Right to erasure – you have the right for your details to be erased where there is no valid reason for us to keep it. You can opt out of any communication that we may send you at any time by contacting data@icgn.org or by using the ‘unsubscribe’ option at the bottom of our communications sent to you.
  • Right to restrict processing – you have the right to ask us to restrict processing of your data.

If you wish to review, verify, correct or request erasure of your personal information, object to the processing of your personal data, or request that we transfer a copy of your personal information to another party please contact data@icgn.org.

How secure is the personal data that ICGN processes?

ICGN protects the personal data that it holds with technical and organisational security measures. Our cyber security arrangements and framework of data protection policies, procedures and training are kept under regular review to ensure that we keep the data we hold secure.

This Privacy Notice is regularly reviewed and we reserve the right to update the Notice at any time.

ICGN uses cookies to collect information about how you use our website. We do this to ensure that the ICGN website is meeting the needs of its uses and helps us to make improvements.  ICGN does not use cookies to collect personally identifiable information about any user of the website, such as your name, address, email address, or any other contact details.
